How it Works

So, you've decided to do our fundraising program that's been around, making money for non-profit organizations for over 31 years! Congratulations! We think you'll find it as easy and profitable as our existing customers do!

We have a few pointers to help you decide how to manage your program.

This program is designed to be run as an in-school fundraiser or as a single-location sale for a church or sports league. Often the customers are the students themselves. Many schools run it as a year-round fundraiser, or have each of several different groups in the school run it at their respective fundraiser times.

Fast Delivery Times

Within Texas, most locations are a 1 day transit from our factory. So, we encourage you not to over-order. We can have more popcorn delivered to you very quickly. Yes, we do have customers who sell out the first day and call us up to have more popcorn arrive the next day.

This fundraiser has a small minimum order quantity – just one case (100 packets of popcorn). That's small enough to accommodate most groups.

For your first order, assume each member of the sales team will sell between 10 and 20 packets, depending of the age of the group. Older group members can sell more per person.

This method of sales allows a tight control over collections, because customers pay for the packets at the time of purchase.

Free Tools for Selling, Tracking, and Collecting

If you are not selling in a single location, we have some tools to help you control collections and ease the management of your fundraiser. Upon request, we provide 10 free carry bags and 10 money envelopes per case for you at no additional charge. You may remove the carry bags and fill each one with 10-12 packets of popcorn. Hand each sales team member one or two carry bags and a money envelope, also provided upon request at no charge to you. Most fundraising leaders will write the name of the sales team member on the envelope before handing it out. That makes it easy to track who has turned in their money as it comes in.

The manpower required to manage this sale is very limited. One person should be designated to order the popcorn and manage the returning funds.

So, take advantage of our strengths! Order limited quantities up front, order repeatedly throughout the sale, and even mix up the flavors in the case when your order quantities are small.

Variety Bag Fundraising

How it Works

You've decided to use one of the easiest and most profitable fundraisers around. Congratulations! We have a few suggestions to make this the easiest and most effective fund raiser you've ever had. After all, we want you to come back again next year!

Putting Your Order Together

STEP 1: Talk with Your Team. Whether that means getting approvals from school or league administration, or just buy-in from parents or students, it's an important part of your fundraiser's success. We'd like to send you a literature kit to help you explain our program to your group. If you already have that in hand, and still have questions, call us, or check out our website for answers.

STEP 2: Order the Pre-order Brochures to hand out to your sales team. A good rule of thumb is to order one for every person that will be selling and add about 10% additional for extras that may be needed. You may always photocopy the order blank if needed for additional sales, but it should be attached to a color brochure to show the products to the customers.

STEP 3: Decide the Following and have them written down. It's easier to work backwards from a final delivery date, so we suggest you decide: 

  1. Your Customer Delivery Date - the date you'd like to deliver your order to your customers.
  2. Your Order Arrival Date - the date you'd like us to have your order to you. You'll want to allow yourself at least a day to organize and assemble the variety bags. Depending on your other commitments, or when you have your selling crew available, you may need more time.
  3. The Selling Price of your variety bag - the amount you charge your customers. Our three most popular selling prices are $10, $12, and $15.
  4. Your Money Turn-in and Order Turn-in dates - usually, these are the same. We've allowed you some flexibility on the pre-order form. Allow yourself time to tally your variety bag sales – or to double-check the numbers of your group tallies. Keep your selling time frame short. We recommend no more than two weeks for order taking. Encourage your sales team to get as many orders as they can at the beginning. Sticking to your dates will be critical to your success. If you don't, you may have orders dragging in for weeks and unhappy customers waiting for their popcorn delivery.
  5. The Order Taking Start Date - the date you'll hand out the pre-order forms to your team. We recommend you choose a time when you can go over the information with your team, and even have them fill in the form blanks to reinforce understanding and save yourself lots of time. If this is impractical, we suggest you put together a cover sheet with all the answers. This way, you'll write it up one time and explain it on paper. Include your contact information to field questions.

STEP 4: Fill in Pre-order Brochures or make up your cover sheet to include instructions with the specifics you decided on for your fundraiser. The medium-tan colored section will be for the sales team to complete. They should fill in:

  1. Organization: the name of your school or organization
  2. Student Name: their own name
  3. Make Checks Payable To: to whom your customers should have the checks made out (this should be your organization, not Deanan® Gourmet Popcorn).
  4. The date orders and collected money should be turned in.
  5. The selling price on the sample line (so there is no confusion).

The light tan colored section provides fifteen lines for the student to fill in with their orders.

STEP 5: Total Your Sales. Add up the number of variety bags sold on each order blank turned in. It's a good idea to have one person working up the total and a second person checking those numbers. The total number of Variety Bags sold multiplied by the selling price should equal the amount of money turned in by your sales team.:

STEP 6: Place Your Order with us, specifying the number of variety bags, the bag color choices, if any, and the date you'd like your order to arrive. We can email your tracking numbers if you provide your email address.

What to Do When Your Order Arrives

When your order arrives, take a moment to organize the cases. Open them up to count the colored bags. This is the best way to assure everything is there before you begin filling them.

Is your popcorn genetically modified or genetically engineered?
No. We use only non-GMO kernels.
Can I mix the flavors in a case? Or, do I have to order a full case of a single flavor?

We do not require all 100 packets in a case to be of the same flavor. However, we will group flavors into boxes so that the total count of each flavor is easy to you and our factory to verify (i.e. the fewest number of different flavors in each case).

You'll get all the packets you order, but we cannot custom-mix cases for individual team members that include an exact count of specific flavors packed in each case. This allows us to keep our costs very low and results in no cost premium to you. If you require custom mixed cases for your team members, we can do so at an additional cost of $10 per case.

How does the Free Packets Program work?

An order placed using our web site checkout sequence is eligible for 4 free fundraiser packets when one of the following items is included on the order: FR100, FRSingles, FRPrem or VB6. Please note that the VB6 item must be ordered in quantities of 17 or more.

The 4 Free fundraiser packets bonus for ordering online applies to website orders only. Limit 4 packets per day for all orders from the same email to the same shipping address.

Why are the weights different on full-size packets?

The sweet coating on popcorn weighs more than cheese or savory flavors. The volume (amount of popcorn) in the our packets is the same -- approximately 3 cups.

To illustrate, let's use a common grocery store purchase example. If you are buying a bag of pretzels and a bag of potato chips, the bag size may be the same, but the weights will be different because pretzels are denser. They weigh more than light, fluffy potato chips.

Our sweet coatings are denser than the savory coatings, resulting in varied weights depending on flavor.

How do I determine if I have a Full-size or Sweet Singles size packet?

The Direct Sales Full-size bags are the rectangular bags and the Sweet Singles are square. A full size packet is a little over 10 inches tall and the singles packet is about 7 inches tall, including the seal area on either end of the bag.

Are your products gluten-free and/or dairy (casein) free?

Our Kettle Corn is both gluten free and casein free. No dairy products are used to manufacture Kettle Corn.

All of our flavors are gluten free.

Why am I charged tax if I'm tax exempt?

On first time orders on our website, tax will be added to the order for Texas ship-to addresses. If you've sent us a tax exemption form, we can verify your status. We can then go in and adjust your online account (using your email address).

We must have your tax exemption form on hand in our office before we ship to remove the tax. If we ship your order, and you later submit a tax exemption form, we cannot remove sales tax from the order already shipped.

Once we have adjusted your online account, future fundraiser orders placed for this group using your email address will not be taxed.

Can an individual order fundraising popcorn?

We do not sell our fundraiser-logo packets to individuals. Our decision is to keep it special for those doing fundraisers, rather than sell it as an item available in stores.

FedEx Ground shipping charges are added to your order and will vary according to your order.

What do I have to do to order your fundraiser?

First, we primarily sell to non-profit organizations, such as schools, churches, sports leagues, and civic organizations like March of Dimes, American Cancer Society, etc. If you are a Texas organization like one of the above, we need to keep a Tax Exempt Certificate on file for you in order to avoid charging the sales tax required by the State of Texas.

If your organization does not have tax exemption (some sports leagues do not have this), we can still do the fundraiser, but we must charge you sales tax. Sales tax is charged at 8.25% from our factory in Wylie, Texas. For organizations outside of Texas, we are not required to charge sales tax.

Once your non-profit status is established, it's just a matter of getting set up as a customer and placing your order. Usually, all the information we need is on the order form. Make sure that we have a good phone number and email address to contact you and get any questions answered or additional information to you.

I am in Europe, Canada, Mexico, or other country outside the U.S. Can you deliver to me?

At this time, we only offer our fundraiser in the Contiguous United States (a.k.a. "lower 48").

How long does the popcorn remain fresh?

Our popcorn has about a 3 to 4 week shelf life. We strongly recommend you do not over-order as we cannot take back any unsold product. For most states, there is no need to over-order, as we can usually ship out the product on the same business day or the next after receiving your order.

Our popcorn must be stored in a cool, dry place to maintain its optimum shelf life. As with just about any food product, heat and humidity can be harmful to freshness and flavor.

What is your returns policy?

Our product is considered a perishable product and we, therefore, cannot take back any unsold product. Because we are able to process orders and deliver quickly, we encourage you not to over-order. We promise you, and every other customer, fresh product from our factory, not product returned from a previous shipment.

We will be happy to help you determine a conservative amount to order based on the number of people selling and the age of your selling team.

How far in advance do I need to order?

We can usually ship out product the same day you order. During our busy seasons (August 15th to May 1st), we request a 24 to 48 hour notice. We ship orders on a first-come, first-serve basis for the requested ship date. Your delivery date is determined by the FedEx Ground transit time from our factory.

It's important to note that you do not have to wait until your preferred date to place the order. We often take orders months in advance and ship out fresh product on the requested ship date.

How can I pay for the order?

Public Schools are offered 21-days credit when the payment is being made by school or ISD check. This is because we often have to apply to be on the approved vendor list, or schools will require a purchase order, or some assurance is available from the Accounts Payable or bookkeeper that the fundraiser is approved and payment is assured. Other organizations are requested to pay in advance by money order, cash, Mastercard, Visa, Discover, or debit card.

From time to time, a large organization, such as a PTO or sports league will request our Purchase Agreement to receive a 21-day credit. This document is available online and defines who is accepting legal responsibility for payment of the order. We do reserve the right to determine when an organization is eligible for a Purchase Agreement.

When paying by credit or debit card, we do not charge the card until just prior to shipping the order. So, it is safe to place an advance order and be assured that payment is applied the same day as your product ships.

How much do the money envelopes cost?

There is no charge for money envelopes or carry bags when requested in quantities of 10 per case on fundraiser items. Additional carry bags or money envelopes can be ordered at a cost of $1.00 per set of 10.

Money envelopes can be used with any program. For the Direct Sale program, you would place your request for them at the time you place your order. For the Variety Bag program, if you take pre-orders, you would request them at the same time you request the sales brochures.

The money envelopes are coin envelopes that you may provide to your crew members, allowing them to keep the fundraiser funds separate from their personal money. Often, a teacher, or fundraising leader, will write each crew member's name on an envelope to facilitate record keeping as the money is turned in.

Carry bags are similar to the bags you find in stores for bagging groceries. Our contact information is on the bags. They are intended for your crew to carry packets while selling. Each carry bag holds 10 to 12 packets.

Can I have the delivery sent to my home?

Yes. FedEx imposes a surcharge for residential deliveries that we pass on at $5 per case (Full Size or Sweet Single Direct Sale) or $0.30 (30 cents) per Variety Bag.

For deliveries made by our driver in the area local to our factory, there is no upcharge for a residential delivery. We do require it be 3 Full Size cases or 6 Single Cases to deliver locally at No Charge. On orders of fewer than 3 Full Size or 6 Single cases, there is an $8.00 flat fee. However, if no one is available to accept the product and remit payment, there is an additional charge for a second delivery attempt.

FedEx also imposes what is called a "hundredweight residential delivery fee". If your order is sent to a residential address and is 6 or more cases, there is a fee of $20 additional for the shipment. We sincerely regret this charge and simply pass it on. We encourage you to avoid this fee by, either ordering in quantities of 5 or fewer cases to a residential address, or, ideally, having your order sent to a commercial address.

What is a commercial address?

A school, office building or church is considered a commercial address. This does not include any school, business or church that is run out of a home. FedEx establishes the rules for a commercial location. They also consider a dorm a residential address, though classroom and administrative buildings on campus are commercial.

For commercial locations, it helps us tremendously if your business has its hours posted and a separate business entrance. FedEx is required to attempt delivery within business hours.

How many packets are in a Direct Sale case?

There are 100 packets in a Direct Sale case.

Can you have my order delivered to me by a specific time of day (e.g., 10:00am)?

FedEx delivery times are determined by FedEx. FedEx has a terrific on-time delivery record with us, but the FedEx Ground shipping method does not promise a time of day. If you must have your order by a specific time, we suggest that you order it to arrive the day before you need it.

Ordering the product to arrive the day before you need it is good advice in general. This extra time allows you to organize your fundraiser if you are handing out packets to fundraising crew members or filling Variety Bags for crew members to deliver.

For deliveries local to the Wylie, Texas, area you may request a specific time frame for our driver to arrive. We will note the preferred time, and only request your patience and understanding in the event the driver has multiple delivery stops to make and/or runs in to traffic delays.

What are Factory Seconds?

Factory Seconds are packets that have misaligned packaging, a piece of popcorn in the seal or slightly under- or over-filled. The popcorn inside is the same excellent quality that we supply at all times. It is always fresh.

What if our school prohibits the sale of sugar content products?

There are a couple of good solutions to this. The easiest, if you want to sell during the school day, is to sell the savory flavors (White Cheddar, Salsa 'n' Cheddar, Yellow Cheese and Butter). These flavors do not contain any sugar.

If the school allows you to sell after school with the Carmel, Vanilla and Dark Chocolate, you can opt to do that, by setting up a table at the end of the day in an allowed area, and distributing then.

What if our school will not allow selling snack foods on campus at all?

All of our programs allow you to pre-sell our products using order forms.

You may take orders for our Full-size and Sweet Singles packets using the Direct Sale Pre-Order Form.

These forms can be ordered in advance of your fundraiser using our online checkout, by filling out our new online form, by calling us a 800-275-9896, by faxing your order to 972-445-1500, or by printing them directly from the online link.

Does your popcorn contain any animal products?

Kettle Corn does not contain any animal products.

Carmel, Vanilla, Dark Chocolate and Butter contain butter.

White Cheddar, Yellow Cheese, and Salsa 'n' Cheddar contain cheese.

Are your products peanut-free or nut-free?

We use NO peanuts or peanut products in our facility. That is deliberate. Often the end-users of our product are children, who seem to be more at risk for peanut allergies, or perhaps, less adept at avoiding peanuts if they have an allergy.

It is important to note, however, that we do have a product containing pecans and almonds, as well as one that uses cashews. We clean our machines meticulously between flavors.
